The Supervisor ensures consistent execution of established MA workflows, promotes safe and efficient patient flow, supports providers and staff, monitors documentation and quality standards, and serves as the first point of escalation for routine workflow, staffing, and patient-service concerns. The role also provides hands-on Medical Assistant support when needed to maintain clinic operations and continuity of care.
SUPERVISORY RESPONSIBILITIES
• Provide daily direction, coaching, and workflow support to Medical Assistants assigned to the clinic or designated team.
• Coordinate MA assignments and coverage based on provider schedules, patient volume, same-day add-ons, absences, and operational needs.
• Promote consistent use of APM Medical Assistant workflows, policies, documentation standards, infection-control practices, and patient-safety expectations.
• Support onboarding and training of new MAs and reinforce competency in rooming, provider support, UDS/lab workflows, chart preparation, documentation, patient communication, and clinic systems.
• Monitor staff performance, attendance, professionalism, teamwork, and completion of assigned responsibilities; provide timely coaching and escalate significant or recurring concerns through the appropriate management process.
• Assist leadership with staff feedback, competency review, performance evaluation, interviewing, and other workforce activities as assigned.
• Serve as a communication link between Medical Assistants, providers, front office staff, and leadership to resolve day-to-day operational issues promptly.
• Model APM standards for professionalism, accountability, teamwork, patient-centered service, and respectful communication.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Daily Clinic Leadership and Patient Flow
• Review the daily provider and patient schedule at the beginning of the shift and identify staffing, rooming, procedure, or workflow needs.
• Assign or adjust MA coverage to support timely patient intake, provider flow, procedures, breaks, same-day add-ons, and unexpected staffing changes.
• Monitor clinic flow throughout the day and intervene when delays, bottlenecks, incomplete tasks, or coverage gaps may affect patient care or provider efficiency.
• Conduct or support brief team huddles as needed to communicate daily priorities, staffing changes, provider needs, safety concerns, and workflow updates.
• Ensure clear handoff communication when unresolved work must carry forward to another staff member, shift, or clinic day.
2. Medical Assistant Workflow Oversight
• Ensure MAs consistently complete patient intake and rooming responsibilities, including identity confirmation, vital signs, height and weight, medication reconciliation, allergies, Health Assyst review, pill-count readiness, and required patient forms.
• Ensure providers are notified promptly when patients are ready and that room flags or other clinic signals are monitored and addressed.
• Monitor completion of post-visit responsibilities, including checkout, follow-up scheduling, imaging and laboratory scheduling, referrals, and EMR documentation.
• Ensure patient charts are prepared in advance of scheduled visits, generally 2–3 days ahead, with required records, imaging, labs, prior notes, insurance verification, and authorizations available.
• Verify that same-day changes and add-ons are incorporated into chart-prep and rooming workflows without disrupting patient care.
3. Provider, Procedure, and Clinical Support
• Ensure MAs are appropriately prepared to support providers during patient evaluations, procedures, injections, and documentation within the MA role.
• Oversee readiness of supplies for trigger point injections, Toradol injections, ultrasound-guided procedures, and other assigned clinic procedures.
• Confirm required documentation for administered medication/dose, route/site, lot number, expiration date, and administering MA.
• Provide direct hands-on Medical Assistant support and coverage when patient volume, staffing, or provider needs require it.
• Escalate clinical questions, unusual findings, patient safety concerns, or issues outside the MA scope to the appropriate provider or leader.
4. UDS, Lab, and Medication-Related Workflow Oversight
• Ensure urine drug screen collection workflows are completed consistently, including patient call-back, specimen-cup distribution, coordination with the UDS technician, and required schedule completion.
• Verify UDS preliminary and final reports are scanned or filed appropriately and that required specimen or patient information is complete.
• Monitor cleanliness, organization, biohazard disposal, chemical handling, and safety practices within the lab area in accordance with clinic procedures and the OSHA Compliance Lab Book.
• Monitor completion and accuracy of pill-count processes, medication logs, and other required medication-related tracking.
• Ensure pharmacy boards are completed two days in advance according to established workflow.
5. Documentation, Chart Preparation, and Medical Records
• Monitor MA documentation for accuracy, timeliness, and completeness and address deficiencies before they affect patient care or clinic operations.
• Ensure incoming MRI reports, PCP notes, physical therapy notes, UDS reports, refill documents, and other clinical records are routed, scanned, or filed into the patient chart appropriately.
• Ensure providers are tasked when MRI reports are available for review and that missing reports are obtained from imaging facilities when needed.
• Ensure patients are contacted and scheduled for MRI review visits when directed by the provider.
• Verify completion of required faxing, cover sheets, scanning, and documentation when records are sent to PCPs or other outside offices.
• Monitor daily, weekly, and monthly logs and ensure assigned logs are current and complete.
6. Patient Communication and Service Recovery
• Ensure patient voicemails, messages, questions, and requests assigned to the MA team are documented and addressed in a timely manner.
• Reinforce the expectation that patient calls are returned by the end of the day whenever possible and that patients are updated when provider follow-up will be delayed.
• Ensure reasonable repeat contact attempts are made before unresolved patient communication tasks are closed.
• Serve as the first escalation point for routine patient concerns related to MA workflow, communication, wait times, or service issues and involve the provider or leadership when appropriate.
• Promote professional, empathetic, and respectful communication with patients at all times.
7. Quality, Compliance, and Safety
• Monitor compliance with HIPAA, privacy standards, infection-control practices, patient-safety protocols, lab safety requirements, and established clinic procedures.
• Ensure exam rooms are cleaned, disinfected, stocked, and ready for patient care throughout the day and at close of business.
• Ensure tools and instruments are cleaned and maintained according to sterilization protocols and manufacturer instructions.
• Participate in or coordinate routine chart audits, pill-count reviews, medication-log reviews, and other quality-control activities assigned by leadership.
• Identify recurring workflow or documentation gaps, provide corrective coaching, and escalate trends requiring additional training or operational intervention.
• Report safety events, unusual findings, compliance concerns, or significant operational issues promptly through the appropriate chain of command.
8. Staff Training, Development, and Accountability
• Orient new Medical Assistants to APM clinic workflows, systems, patient-service expectations, and site-specific processes. Provide ALL training and onboarding.
• Provide ongoing coaching and hands-on training to support consistent performance and skill development.
• Validate understanding of new or revised workflows and reinforce expectations during implementation.
• Recognize strong performance and encourage teamwork, accountability, reliability, and shared responsibility across the MA team.
• Document and communicate recurring performance or conduct concerns to management and participate in improvement plans or corrective processes as directed.
9. Clinic Readiness, Supplies, and Operational Coordination
• Monitor availability of routine clinical supplies and ensure exam rooms, procedure areas, and lab spaces remain appropriately stocked and organized.
• Identify supply, equipment, or clinic-readiness issues and communicate needs through established channels before they disrupt patient care.
• Coordinate with front office staff, providers, and other departments when schedule changes, referrals, records, or operational issues require cross-functional follow-up.
• Support standardization of MA workflows across APM clinic locations and share operational concerns or improvement opportunities with leadership.
10. End-of-Day Oversight and Reporting
• Confirm that priority patient messages, provider requests, documentation, chart tasks, referrals, UDS schedules, and other time-sensitive MA responsibilities have been addressed or appropriately handed off.
• Ensure exam rooms and clinical work areas are restocked, clean, organized, and ready for the next clinic day.
• Communicate staffing issues, unresolved patient concerns, operational barriers, safety concerns, or significant workflow issues to the appropriate manager or leader.
