Medical Receptionist - Office Admin

Purpose of Position: Administrative support for both clients and therapists.This position includes answering thephone, scheduling appointments, assigning new clients, greeting clients, managing records, and organizing time and space to keep the office running smoothly. Excellent communication and organization skills are required. Flexibility is extremely important in this position as our company is continually changing in our efforts to improve processes and policies.

• • Monday and Tuesday: 12:00 pm - 8:00 pm
  • Wednesday and Thursday: 8:00 am - 4:00 pm
  • Friday (e/o week or 1x/month): 9:00 am - 5:00 pm
• Pay: $18.00 - 20.00/hour

Preferred Qualifications:

• Gmail, Google Meet, Google Docs, Google Sheets experience
• Procentive or Electronic Health Records experience
• Computer literacy
• Experience in health care or mental health field
• Knowledge of insurance and/or medical terminology useful

Responsibilities:

• Intake Process
• • Responsible for all aspects of the intake process for new clients to ensure appropriate scheduling, with therapists, skills workers and billing process.
  • Verify insurance eligibility. Clarify accuracy of both primary and secondary insurance information. Ensure that the insurance is active. Actively manage expiration dates in the system.
  • Provide input to a manual that outlines processes and procedures.
  • Work collaboratively with the Director of Billing to audit intake processes from a billing and claims perspective.
• Maintain a high level of confidentiality.
• Attend to clients on the phone and in person. Coordinate and organize appointments and documentation to facilitate the smooth running of the SBCC environment and support the delivery of quality client care. Greet, welcome and check in clients as they arrive for appointments
• Other duties assigned by the supervisor
• Maintenance of the lobby, clinical rooms and general office space to ensure a welcoming atmosphere.
• • Cleaning tasks: vacuum, empty dishwasher, ensure bathrooms are presentable
  • Assist with shoveling snow and salting sidewalks
  • Opening and closing: lights and music
  • Room management - board updated, and room scheduling conflict resolution

Physical Demands:

1. Must be able to stand, walk, and sit for prolonged periods of time
2. Must be able to lift up to 50 pounds
3. Extensive time answering the phone
4. Extensive time working at a computer workstation

Relationships:

This position must develop and maintain cooperative and positive working relationships with co-workers and clients. The employee must strive for excellence, maintain professionalism, and model exemplary service. Employees are capable of communicating tactfully and effectively with a wide range of people, including dysregulated clients. Employees must be able to work independently as well as in a small office team. Work is shared among employees and flexibility in these working relationships is an essential requirement. This position must work closely with the Clinic Administrator and other lead workers.
