Travel: Travel between clinic locations may be required for training and operational needs.

Job Summary

The Medical Assistant - Allergy is an essential member of the clinical team and supports Physicians, Physician Assistants, and other clinical staff in delivering safe, efficient, and patient-focused care. The Medical Assistant is responsible for patient intake, clinical documentation, room preparation, assisting with in-office procedures, coordinating patient care, and supporting the overall flow and operations of the clinic.

The ideal candidate is self-motivated, organized, detail-oriented, professional, and comfortable working in a fast-paced healthcare environment. Medical Assistants are expected to maintain patient confidentiality, accurately document information in the electronic medical record (EMR), follow established clinical and operational procedures, and provide a positive experience for patients and team members.

Essential Duties and Responsibilities

Patient Intake & Clinical Support

• Room patients according to established clinic standards and workflows.
• Verify patient information by interviewing patients, recording medical history, and confirming the purpose of the visit.
• Prepare patients for examination by performing preliminary clinical assessments, including obtaining blood pressure, weight, temperature, and other information as directed.
• Accurately document patient history, clinical information, and visit details in the EMR in a timely manner.
• Coordinate patient care as directed by physicians, Physician Assistants, and other authorized clinical staff.
• Assist physicians and clinical staff with in-office procedures within the scope of training and applicable requirements.
• Ensure patient medications and medication-related information are accurately entered into the EMR during each visit.
• Enter and maintain required patient information in the EMR, including medical history forms/questionnaires, HMO authorizations, and applicable outside medical records.
• Obtain medical records and other clinical documentation from outside physicians, hospitals, laboratories, radiology facilities, and other healthcare providers as needed.
• Maintain accurate and organized clinical documentation and ensure appropriate information is available to support patient care.

Exam Room & Clinical Area Operations

• Organize, stock, and maintain examination and treatment rooms in accordance with clinic standards.
• Clean and prepare examination and treatment rooms before and after patient visits.
• Sterilize instruments and maintain appropriate infection-control practices in accordance with established procedures and applicable requirements.
• Maintain adequate clinical supplies and notify the Manager when supplies are low or additional inventory is needed.
• Ensure clinical equipment is properly maintained and operating according to established instructions.
• Notify the appropriate Manager of equipment issues, malfunctions, or repair needs.
• Maintain clean, safe, organized, and patient-ready clinical areas throughout the workday.

Patient Communication & Administrative Support

• Assist with answering phones and scheduling patient appointments as needed.
• Respond to patient messages and route communications to the appropriate individual or department.
• Ensure messages and patient communications are reviewed and appropriately addressed before the end of the business day.
• Process clinical and administrative documents accurately and in an organized manner.
• Communicate professionally and respectfully with patients, physicians, clinical staff, and other team members.
• Assist with maintaining an efficient patient flow and supporting overall clinic operations.

Compliance, Confidentiality & Professional Standards

• Protect patient privacy and maintain confidentiality at all times.
• Safeguard medical records and patient information in accordance with HIPAA and applicable federal and state requirements.
• Maintain a safe, secure, and healthy work environment by following established standards, procedures, and applicable legal and regulatory requirements.
• Follow LA CENTA policies, procedures, clinical standards, and applicable federal, state, and local requirements.
• Maintain professional standards and conduct consistent with the expectations of an ENT and Allergy specialty practice.
• Participate in training and educational opportunities to maintain and develop job knowledge and clinical skills.
• Take ownership of assigned responsibilities and contribute to opportunities that improve patient care, clinic operations, and the overall patient experience.
• Perform other duties as assigned.

Qualifications & Experience

• High school diploma or GED required.
• Graduation from an accredited Medical Assistant program required.
• Prior Medical Assistant experience preferred; new graduates are encouraged to apply.
• Experience in an Ear, Nose, Throat (ENT) and/or Allergy specialty practice preferred.
• Bilingual fluency in English and Spanish preferred.
• General knowledge of HIPAA and applicable patient confidentiality requirements.
• General knowledge of CPT codes preferred.
• Ability to travel between LA CENTA clinic locations as needed, including for training.
• Strong written and verbal communication skills.
• Strong organizational, interpersonal, and decision-making skills.
• Strong attention to detail and ability to maintain accuracy in a fast-paced clinical environment.
• Ability to work independently with appropriate direction and supervision.
• Ability to effectively prioritize multiple responsibilities and adapt to changing clinic needs.
• Ability to operate standard clinical and office equipment necessary to perform job functions.
• Demonstrated professionalism, dependability, teamwork, and a patient-focused approach.
