Patient Service Representative / Medical Assistant

MCHC is expanding and preparing to open an additional location in South Milwaukee to expand access to our services and reach more members of the community. We are currently building our team for this new site and are seeking a Medical Assistant (MA) with cross-training in Patient Service Representative (PSR) responsibilities to join us as we prepare for the location’s opening.

The Medical Assistant is an essential member of our interdisciplinary care team, supporting clinical care while also assisting with front-desk and administrative functions as needed. In this cross-trained role, the selected candidate will primarily utilize their medical assistant skills and clinical knowledge while also being trained to support PSR functions, including patient check-in and check-out, appointment scheduling, patient communication, insurance verification, and other front-desk responsibilities.

This position is designed to provide flexibility across the clinic based on patient volume, staffing, and operational needs. Candidates should have the clinical knowledge and qualifications necessary to perform Medical Assistant duties and be comfortable providing support in both clinical and administrative areas.

Anticipated Start Date: November 2, 2026. This is a tentative start date and is subject to the timeline for the new location and other operational factors. The final start date and training schedule will be communicated to the selected candidate as plans are finalized.

Key Responsibilities

Medical Assistant / Clinical Responsibilities

• Perform pre-visit screenings and obtain and document accurate vital signs.
• Record patient history and visit information in the EMR, including allergies, medications, pharmacy, pain scale, social history, and reason for visit.
• Assist providers with examinations and in-office procedures.
• Perform and document point-of-care testing in accordance with established protocols.
• Administer vaccines and document appropriately in the EMR and Wisconsin Immunization Registry (WIR).
• Follow established protocols for specimen collection, CLIA-waived testing, and EKG administration.
• Maintain exam room cleanliness, readiness, and clinical supply inventory.
• Respond appropriately to medical emergencies in accordance with clinic protocols.
• Support providers and the interdisciplinary care team in delivering timely, coordinated, and patient-centered care.

Cross-Trained Patient Service Representative Responsibilities

• Greet and welcome patients and visitors in a professional and compassionate manner.
• Assist with patient check-in and check-out, including verifying demographic and insurance information and collecting applicable payments.
• Schedule, reschedule, and confirm appointments using Epic EMR.
• Answer incoming calls and assist patients with general questions regarding appointments and clinic services.
• Assist with patient portal messages and route questions or concerns to the appropriate staff.
• Verify insurance eligibility and assist with insurance-related needs as applicable.
• Schedule referrals, tests, procedures, and follow-up appointments as directed.
• Process incoming and outgoing correspondence, including mail, faxes, and other documentation.
• Maintain accurate patient information and medical records in accordance with HIPAA and MCHC standards.
• Assist with general front-desk and clerical duties as needed.
• Support communication and coordination between patients, providers, and other members of the care team.

Team-Based Care

• Adapt responsibilities based on patient volume, staffing, and clinic needs.
• Collaborate with clinical and administrative staff to support efficient patient flow and a positive patient experience.
• Maintain professionalism, confidentiality, and respectful communication with patients, families, and staff.

Schedule: This is a full-time, 40 hours/week position. Monday - Friday operation.

Required

• High school diploma or GED.
• Completion of a Medical Assistant program or equivalent clinical training.
• Previous Medical Assistant experience in an outpatient clinic or healthcare setting.
• CPR certification.
• Knowledge of basic clinical procedures, vital signs, patient intake, and EMR documentation.
• Ability to perform the essential clinical duties of a Medical Assistant.
• Strong interpersonal and communication skills.
• Ability to transition between clinical and administrative responsibilities as needed.

Preferred

• Certified Medical Assistant (CMA), AAMA or equivalent.
• 2+ years of Medical Assistant experience.
• Experience with Epic or another EMR.
• Experience with vaccinations, point-of-care testing, specimen collection, and EKGs.
• Previous experience with front-desk, scheduling, or other PSR responsibilities.
• Knowledge of FQHC operations.
• Proficiency in Arabic, Urdu, Rohingya, Hindi, Malay, Burmese, Spanish, or another language commonly spoken by the communities we serve.
