Medical Receptionist – Oakbrook Terrace AL/IL

Community Physicians is seeking a Medical Receptionist to join our Oak Brook team supporting patients in Assisted Living (AL) and Independent Living (IL) communities. This position is ideal for an organized, compassionate, and detail-oriented healthcare professional who is comfortable managing scheduling, insurance verification, prior authorizations, referrals, and communication with facility staff.

The Medical Receptionist will work closely with providers, clinical staff, patients, families, pharmacies, insurance companies, and AL/IL facility staff to help ensure timely and coordinated patient care.

Role & Responsibilities

Patient & Facility Coordination

• Serve as a primary administrative point of contact for patients, families, providers, and AL/IL facility staff.
• Answer incoming calls, take accurate messages, and route inquiries to the appropriate team member.
• Schedule and coordinate patient appointments and maintain provider calendars.
• Communicate appointment changes and schedule updates to facility staff in a timely manner.
• Conduct outreach and maintain positive working relationships with facility staff to support coordinated care.
• Assist with patient follow-up and coordination of services as needed.

Insurance & Prior Authorizations

• Verify patient insurance eligibility and benefits.
• Submit, obtain, and track prior authorizations for medications, procedures, diagnostic testing, and other services requested by providers.
• Communicate with insurance companies, pharmacies, medication vendors, and third-party organizations to resolve authorization issues.
• Monitor pending, approved, and denied authorizations and complete necessary follow-up.
• Assist providers and clinical staff in gathering documentation and information required for authorization requests.
• Maintain accurate records of authorization requests, approvals, denials, and follow-up activities in the EMR.
• Communicate authorization status and next steps to appropriate team members.

Administrative & Clinical Support

• Maintain accurate patient demographic, insurance, and contact information in the EMR.
• Assist with referrals to specialists and coordinate communication with outside medical offices.
• Manage incoming and outgoing faxes and ensure documents are routed appropriately.
• Prepare charts, scan documents, and maintain accurate patient records.
• Support providers and clinical staff with administrative tasks as needed.
• Assist with coordinating patient services between Community Physicians and AL/IL facilities.

Compliance & Documentation

• Maintain confidentiality of patient medical, financial, and personal information in accordance with HIPAA and company policies.
• Ensure patient records and documentation are accurate, complete, and appropriately entered into the EMR.
• Follow established workflows for insurance verification, prior authorizations, referrals, scheduling, and documentation.
• Maintain professionalism when communicating with patients, families, providers, insurance representatives, pharmacies, and facility staff.

Other Duties

• Participate in team meetings and training sessions as required.
• Assist with special projects and process improvements.
• Perform other administrative duties as assigned to support patient care and clinic operations.

Qualifications & Education

Required

• High school diploma or equivalent.
• 1–2 years of experience in a medical office, healthcare administrative, or related setting.
• Strong organizational and time-management skills.
• Excellent verbal and written communication skills.
• Ability to manage multiple priorities in a fast-paced healthcare environment.

Preferred

• Experience with prior authorizations and insurance verification.
• Experience communicating with insurance companies, pharmacies, or medical vendors.
• Experience working with assisted living, independent living, skilled nursing, or post-acute care populations.
• Associate degree, medical office certification, or related healthcare education.
• Experience with EMR systems.
• Bilingual in English and Spanish preferred.
